Production and Facilities Manager

Start Date: Immediately (can be flexible with the start date)

Salary:  $50K – $55K pending  experience

Hours: Daytime, Monday to Friday with mandatory occasional weeknights and weekend work

City/Town: Toronto

Vacation: 10 days plus an additional week of company holiday closures in December and in the Summer and 12 sick/personal days 

Organization Description
Theatre Passe Muraille is known for developing innovative and daring Canadian theatre, but we exist to support our communities. From encouraging independent and emerging artists, and multicultural work, to inspiring our staff and artists to work collaboratively, Theatre Passe Muraille works to ensure all voices are represented on our stage.

Typically, Theatre Passe Muraille produces and/or presents 6-8 shows a year and hosts rental companies and festivals throughout the year. Theatre Passe Muraille operates 2 performance spaces: — a Mainspace Theatre (185 seats), and the Bob Nasmith Innovation Backspace Theatre (45 seats).

Job Description

Reporting to the Leadership Team,  the role of the Production Manager is to supervise and coordinate all technical and production aspects of overall activities in the theatres (Backspace and Mainspace). The Production Manager also acts as the Facilities Manager to oversee the maintenance, security and upkeep of the Building at 16 Ryerson Avenue as well as any other additional facilities that the theatre might purchase/rent/acquire in the future. 

Specific responsibilities include:

PRODUCTION MANAGEMENT

TPM Productions and Co-productions

  • Manage production budgets, or work with co-production supplied PM to forecast and track budget lines.
  • Cost and approve designs, or assist co-production supplied PM as needed with sourcing.
  • Oversee full time, contract technicians and stage management including tracking overall hours and scheduling
  • Plan and maintain the production schedule and scheduled activities (installs, tech, opening, closing, and strikes/ returns etc) for each show and schedule build times for shops and stage crews.
  • Consults with Artistic Producer  on contracting  production department full-time permanent staff.
  • Contracts and coordinates seasonal staff and all creative & production show-related personnel
  • Communicate all schedules, plans to all departments efficiently and promptly
  • Support Marketing and Community Engagement teams with show related event needs.

In associations

  • Work with associated companies and their production managers to  develop, maintain and execute production schedules
  • Hire and supply casual technicians for productions
  • Work with associated company production manager to ensure schedule and production / design is safe for personnel and the venue

Tours

  • Work with production, design and artistic personnel along with the Producer and Artistic Producer to budget, plan, advance and travel TPM touring productions either in person or remotely.

Crew and staff management

  • Ensure that all production personnel are well trained, versed in and compliant with current safety practices and legislation
  • Work with FOH Management and Staff to schedule Fire and Evacuation Drills.

Rentals of the facilities + Equipment

  • Work with Producer to authorize, clarify, and estimate costs for crew and other expenses for rentals
  • Schedule, crew and oversee the client, patron and building safety of rentals
  • Aggregate timesheets and expenses for rentals, staff, and other expenses for invoicing
  • Authorize payroll for production staff and all production-related expense reports
  • Prepare Equipment Loan contracts, as well as preparing packages and checking returns.


FACILITIES MANAGEMENT

Overseeing building maintenance and security / Supervising upkeep of the physical plant

  • Manage all building maintenance contracts and annual inspections. 
  • Arrange for and implement internal building or building envelope repairs or renovations
  • Work with other staff to plan long term building projects
  • Primary responsibility to track building condition and prioritize small, medium and large facility projects
  • Repair, maintain, and update theatrical infrastructure as possible and necessary.
  • Liaise with the city in co-ordinating renovations and other improvement projects
  • Adhere to guidelines for upkeep of a historically-designated building
  • Oversee adherence to all health and safety guidelines within the building and other TPM activities
  • Hire seasonal cleaning and snow removal contracts.
  • Track usage of cleaning supplies and order as needed alongside FOH needs.


OTHER
Other duties as may arise from time to time such as:

  • TPM Hosted Events: The Staff at TPM works in a very collaborative way and though each staff member has specific responsibilities and duties, we do try to support one another. In the past this position has been asked to assist on fundraising events and/or participate in strategic planning. Working with the Community Engagement Manager for Red Door Events, hosting community space, and planning for show based Q&As.
  • Internships and Co-op Placements: TPM takes great pride in offering opportunities for growth for the next generation of artists, arts administrators and technicians and so this position will include opportunities to mentor emerging Production Managers and technical staff when mutually agreed upon.

Mandatory Qualifications:

  • Knowledge and experience with Production Management for live performances 
  • Experience executing and engaging with technical riders, lighting plots and ground plans etc
  • Strong interpersonal and oral/written communication skills and attention to detail
  • Ability to be highly organized 
  • Demonstrated initiative and ability to manage multiple tasks and deadlines
  • Ability to work independently as well as in a team environment
  • Proficiency in the use of computer for: CAD programming, Word processing including Excel, Word, PowerPoint  and Google Docs
  • Curiosity and flexibility in order to support innovative or new technical processes
  • Commitment to TPM values

Assets:

  • Valid Driver’s License 
  • Knowledge of Facility management 
  • Knowledge of Digital streaming (live or pre-recorded) 
  • Knowledge of any editing softwares, Adobe Premiere Pro for example
  • Experience with any theatrical digital technologies (eg. Augmented Reality, Virtual Reality, Haptics, Binaural sound etc.)
  • Experience with theatrical accessibility initiatives (eg. captioning, ASL interpretation, Audio-Description, Relaxed Performances)

Job Description

Reporting to the Artistic Producer, Producer and Mainspace House Technician, the Production Assistant will offer support to the Production Team. 

Specific responsibilities include:

  • Assist with the development and implementation of technical plans for each production, including technical schedules, production meetings, deadlines. 
  • Assist with the management of crew and overtime hours as set by the Production Team.
  • Assist the crew in the construction, installation, and maintenance of sets, props, and scenic elements as well as other design elements. 
  • Assist with the maintenance of the Facilities of the theatre and coordinate any necessary contract work.
  • Assist in any other tasks as assigned by the Production Team
  • TPM Hosted Events: The Staff at TPM work in a very collaborative way and though each staff member has specific responsibilities and duties, we do try to support one another. 

Mandatory Qualifications:

  • Be between 15-30 years of age, at the start of the funded position.
  • Be a Canadian Citizen, permanent resident, or someone to whom Refugee Status has been granted/conferred.
  • Have a valid SIN
  • Strong interpersonal and oral/written communication skills and attention to detail
  • Ability to be highly organized 
  • Demonstrated initiative and ability to manage multiple tasks and deadlines
  • Ability to work independently as well as in a team environment

Join our Board!

We’re looking for volunteers interested in joining our Board of Directors. We seek people who love the work of our theatre along with our commitment to develop innovative Canadian theatre that is inclusive, eclectic, and representative of our city.

The Board’s main responsibilities include supporting the executive and artistic leadership in an advisory capacity, fundraising on behalf of the theatre, providing legal and financial oversight of the organization, engaging with local communities, supporting equity and inclusion in the theatre, and promoting the theatre and enhancing its public standing.

You will also be responsible for attending regularly scheduled board meetings (about 6 per year, which are generally held at the Theatre Passe Muraille offices), and to sit on at least one committee according to your interest and skill set. Board members are encouraged to participate in fundraising activities.

At this time, we are seeking applications from people with experience in the following areas: 

Accessibility, Law; Community Development; Fundraising or Philanthropy; Accounting; Engineering or Architecture; Government Relations; Non-Profit, Artists, and those who live or work in Theatre Passe Murailles’ neighbourhood. However, we are always looking for committed and active champions of our theatre and encourage those with experience in other areas to apply as well.

In addition to general board members, we are also seeking applications for the roles of Treasurer of the Board.

Above all, we want our Board to fully reflect the people who live, work, play and study in our neighborhoods and communities.
